Staff Assistant

The Asian Pacific American Institute for Congressional Studies (APAICS) is seeking a dynamic professional to serve as its Staff Assistant. The qualified candidate will be responsible for supporting the President & CEO, Chief Administrative Officer (CAO), as well as other APAICS staff as needed.

 

The Staff Assistant reports directly to the President and CEO and CAO.

 

RESPONSIBILITIES

  • Answers and screens telephone calls for the staff and takes messages when appropriate;

  • Scheduling events and work-related items into the airtable calendar;

  • Take weekly staff meeting minutes;

  • Assist in event planning;

  • Support the CAO in weekly financial reporting

  • Manage APAICS’ fundraising reporting process

  • Assist the CAO in making financial decisions to ensure programmatic spending is accurate

  • Supporting the CAO with the enforcement of company policies and standards

  • Assist the CAO with Office Administration tasks including monitoring inventory and placing supply orders, tracking daily operations and reporting or resolving issues, and assisting in the maintenance of APAICS’ monthly expenses

  • Assist with proposal review and reporting

  • Support talent operations including job postings, and recruiting practices

  • Assist with employee onboarding, ensuring team members have the tools to be successful in their roles 

  • Manage EveryAction CRM database by maintaining accurate inputting and systems protocols;

  • Serve as a day to day supervisor for APAICS Office Interns by relaying materials/tasks between staff and interns, managing workflow, and storing content created by interns for archival purposes;

  • Support the Special Assistant to the President/CEO with the APAICS Office Intern Program

  • Support the Special Assistant to the President/CEO with the candidate and elected officials database; 

  • Assist in writing briefings for Members of Congress, elected officials, etc.; and

  • Performs other duties as assigned.

Requirements: 

  • Completion of a four-year degree is preferred.

  • Knowledge of Asian American & Native Hawaiian/Pacific Islander communities across the country is preferred.

  • Strong leadership skills to develop and leverage resources, build partnerships and coalitions;

  • Possesses clear vision and planning skills with attention to detail and follow-through;

  • Proven oral and written communication and presentation skills;

  • Team player and accomplished managerial skills;

  • Must be creative and flexible to respond quickly and positively to shifting demands and opportunities;

  • Works well under pressure;

  • Solid logistical and organizational skills required;

  • Sense of humor with a high degree of professionalism;

  • Ability to work cooperatively and courteously with others; and

  • Proficiency in Word processing, Excel, and Outlook.

COMPENSATION

  • Starting salary is $50,000 with healthcare premium reimbursement, access to 401(k) plan after 90 days of employment, and 21 days of vacation.

  • This full-time opportunity is located in Washington, D.C.
